Procedures for Submitting
SEPARATION PERSONNEL RECOMMENDATIONS
Retirement

  1. Retiring employee
    1. Contacts the HR Office of Total Compensation to schedule a retirement counseling session


  2. Office of Total Compensation
    1. Requests personnel file
    2. Schedules and conducts retirement session to determine benefits


  3. Retiring employee
    1. Submits written notification of retirement to their Department, indicating effective date of retirement.

  4. Initiating Department
    1. Receives the retirement notification from employee
    2. “Same day” prepares Personnel Recommendation, with attached retirement notification.
    3. “Same day” hand carries PR and attachment(s) in a red folder to the Department of Employment.

  5. Department of Employment
    1. “Same day” receives and reviews the documents in the red folder (PR and attachments), for final signature
    2. “Same day” hand delivers the payroll goldenrod copy of the PR to the Payroll Office, for processing

  6. Payroll Office
    1. Receives the goldenrod copy of the PR in the red folder
    2. Processes the employees final check (for distribution on retirement date)
    3. Contacts the Department for check pick-up

  7. Initiating Department
    1. Completes retirement separation activities (collects all University equipment including ID, keys, passwords, Department credit cards, access cards, uniforms, cell phones)
    2. Remind employee to contact the HR Office of Total Compensation for benefits advice
    3. Retrieves the designated check from Payroll (if required)
    4. Contacts employee and arranges for check pick-up (if required)

  8. Department of Employment
    1. Prepares and distributes copies of the Personnel Recommendation and attachments, according to established procedures
